    Item/Update

    New Items for Discussion

    (Not assigned yet)

Chris asked for board volunteers to be back up to Pam Payne from Aug – Dec 2017 because Kristina & spouse will be moving their primary residence to their beach house.  They will maintain their home and business here, but it was decided that Kristina probably would not have time to dedicate to SHRM board role.

Fundraiser Lisa Hines brought the Rada information and it was voted and approved to do this again this year.  Lisa will gather more information about how to kick this off and will contact Jan Brink to find out more about details.  Gift card

Signature Home Styles was presented by Lisa Hines also.  Organization earns 50% of profits for candles sold.  We will table this fund raiser to consider for a seasonal fund raiser.

September, Chris plans to invite board members to his NEW home for fellowship.

    Chris Wilson

    President

    1. Bylaws are being reviewed at National Level and we are awaiting feedback.
    2. Informed group that Pam Payne, Andrea Cook, and he conducted mock interviews last month for students at DCC.  Very rewarding experience for all.
    3. Chris asked that we (board members) make sure we RSVP by requested deadline for board meeting.  He understands that sometimes emergencies arise, but asked that we really put forth an effort to notify timely of attendance, or not, to avoid wasting lunches/money.

    Ronnie Pannell

    President-Elect

    1. SHAPE document management:   Ronnie reported we need to stay in good standing by conducting our own audit on a monthly basis.  There are chapters that get a print out from Crystal Adair monthly to provide them with their standings.

We are good on our meeting attendance.

We need to conduct a strategic planning meeting.

    100% on State Council Meetings

We need to make SHRM Foundation contribution.  It was voted on & approved at our April board meeting to give a $500 contribution.

    1. Debrief State Meeting: Ronnie reported that State Council President, Karen Edmonds, will be visiting all chapters.  Chris informed that Karen will actually be attending our 5/31/17 meeting.  Karen also plans to send company CEO’s a letter of appreciation for allowing their employees to volunteer for SHRM, but since Chris had previously did this for our chapter, Karen & Chris will decide on something else she can do for us.

Ronnie said they spent a lot of time discussing the State Council website & they will be voting on it at their next meeting.

Next year’s conference 4/22 – 4/25/18 at the Homestead.  $499 registration rate effective until 11/30/17.

Discussed in October 2018 inviting at-large members to an event.

Discussed best practices:  New member on-boarding event, volunteer training, Val Boston’s Diversity Inclusion Program, David Basham’s presentation on Form I-9s completion, invite Executive’s to events ie. Meeting, social to educate them about SHRM.

Discussed student panels or young professional groups being invited to meetings.

    1. Audits to check our new member list compared to SHRM National.  Committee is keeping their list clean & everyone has paid except for one member.  Ronnie & Christine are trying to get Crystal Adair to tell them where she gets her numbers from.  Chris suggested that we approach Karen Edmonds next week while she is visiting to see if she can assist.

    1. Christine asked about whether we still plan to raffle a National SHRM membership.  It was discussed and decided that we would have eligibility criteria for the raffle.  Recipient must be an active member in our chapter (have to attend 3 of the last 5 month meetings from Jan – May 2017), dues are current, validate they are not a current National member.  Our goal is to draw at our June board meeting and announce at June chapter meeting.  The lucky recipient will be asked to speak for a few minutes, at our August or September meeting, about something they learned from viewing the National site.

    Lisa Hines

    Shirley Hodge

    Treasurers

    1. Financial Audit – who, when, and where?

    Savings $3,286.77

    Checking $7,720.33

    CD $4,920.17

    $15,927.47 total

Still hasn’t found auditor.  Chris said he had the number to someone in Yanceyville that a friend shared with him, so he would pass it along to Lisa.  If anyone has a referral for Lisa, please let give her contact information.

Everyone paid for Admin Day and this is the first time this has happened.  Lisa reported $605 expense for our April lunch.  Gift expense was $ 337.19.  No definite numbers to validate, but we feel a small profit was made from the event.

    Kristina Barkhouser

    Pam Payne

    Secretaries

    1.  Bylaws are at National and awaiting for feedback from them.  Chris will keep us posted on any updates.

    Linda Moore

    Christine Thompson

    Membership Chairs

    1. Analysis on national  in the area who are not SSVA Chapter Members and a recommendation on how we might reach them
    2. Brochures: Linda brought the brochure with her to present to attendees for review.  Linda is going to get them to crop the picture on the front so it portrays a blend visual, which looks better.  SHRM email address was changed to our website address.  Pricing:  Printing $14, first brochure $100 to do the typing and art.  Folding $15 for the entire job.  $135.14 total has been paid for the entire job.  We need to complete this brochure because we can’t get the at-large information from Crystal until we provide her with what we are going to give at-large members to educate them about our chapter.  Linda will get one final proof after changes are made and it will be reviewed by the board for final approval before print.

    Ashley Anthony

    Christy Oakes

    Program Chairs

Both Chairs were absent.  Chris is going to email them today to make sure we are set for the remainder of the year with programs.  Chris thought September was vacant at one time and he will email us an update.  Christine said she needs to know how many presenters will be present each month so she knows how many gifts to bring to the meeting.  Presentation next week will be brief because of Karen’s visit.  Financials will not be presented, but Chris does want the birthday list.

    Connie Alderson

    Susan Watkins-Dalton

    Communication Chairs

    1. Recommendation on how we might better use our website

Susan said she hasn’t had time to assist Connie with this effort.  Connie said we did have a little issue with the site this month, but data was recovered.  Christine has been their fall back when they couldn’t figure out things.  All agreed the site is not easy to navigate, but Connie has done a great job.  Meeting minutes are now being posted to the website.
